Job Description

We're seeking a Project Coordinator / Scheduler to coordinate crews, timelines, and materials for seamless project execution. If you're organized, proactive, and thrive in a fast-paced environment, this is your opportunity to make an impact!

Details:

  • Schedule: Monday-Friday, standard business hours
  • Location: 100% in office in south Minneapolis (not downtown)
  • Type: Direct hire with full benefits
  • Pay: $65,000-$75,000 depending on experience

Duties:

Scheduling & Project Coordination

  • Develop and manage both long-term and short-term production schedules following company-approved processes.
  • Determine project duration based on input from the sales team.
  • Schedule crews and projects efficiently, factoring in location, personnel availability, and other active jobs.
  • Coordinate material orders and delivery dates to align with project start times.
  • Adjust schedules, crew assignments, and material deliveries as needed-sometimes on short notice.
  • Maintain current lead time projections and update schedules accordingly.
  • Arrange inspections and ensure proper personnel are scheduled to meet with city officials when necessary.
  • Ensure all required documentation-permits, waivers, affidavits, and special orders-is complete prior to job start.
  • Support supervisors in confirming crews have the necessary resources on-site, including materials, equipment, dumpsters, and cranes.

Cross-Department Collaboration

  • Work closely with supervisors to assign appropriate personnel to each project.
  • Coordinate with independent contractor schedulers and project managers on crossover job phases.
  • Share long-term and tentative start dates with the sales team, production staff, clients, and vendors.
  • Communicate short-term schedules and daily crew assignments with field teams, supervisors, project managers, and the operations manager.
  • Uphold committed client start dates when necessary in coordination with the sales department.
  • Partner closely with the operations manager to align scheduling with production priorities.

Client & Internal Communication

  • Distribute detailed project information to crews and internal supervisors ahead of job start.
  • Facilitate introductions between clients and supervisors or foremen before the project begins.
  • Maintain detailed records of communication with clients, crews, and vendors during the scheduling phase.
  • Provide proactive updates to clients before project start, during delays (e.g., weather), or when project managers are unavailable.
  • Field incoming calls from clients regarding job schedules, questions, and concerns-and direct them to the appropriate team member as needed.

Requirements:

  • Experience in the construction industry or similar (ie: manufacturing).
  • Experience with scheduling, coordinating, etc.
  • Basic Microsoft Office knowledge: Word, Excel, & Outlook
  • Knowledge of Microsoft project or Smartsheet (preferred).
  • Possess client-facing soft skills.
  • Works well in a team setting and sharing responsibility.
  • Is committed and dependable, plans absences well in advance.
